Document & Data Processing
Get the numbers off your invoices, forms and reports without somebody typing them in one field at a time.
What this actually is
Invoices, forms, applications and reports read and sorted automatically instead of keyed in one at a time.
Paper and PDFs still run a lot of Nigerian business — delivery notes, bank statements, application forms, supplier invoices in whatever layout the supplier felt like using. Somebody reads each one and types it into a system. It is slow, it is dull, and the errors that creep in are the quiet expensive kind.
We build extraction against a real batch of your documents, including the crumpled ones and the badly scanned ones. Clean records go straight through to your system. Anything the model is unsure about gets flagged for a person rather than guessed at. Accuracy is measured against the originals and reported to you as it is.
How we work
Four steps, in this order.
Sample
Take a real batch of your documents, including the messy ones.
Extract
Pull out the fields that matter and check them against the originals.
Route
Send clean records straight through; flag the uncertain ones for a human.
Measure
Report accuracy honestly and keep tuning until it earns its place.
What you get
Every engagement hands over these.
- A working extraction pipeline tuned to your actual document types
- A review queue where staff resolve only the flagged records
- Clean structured data landing in your spreadsheet, database or accounting system
- An accuracy report measured field by field against the originals
Who it’s for
This is usually the right fit when…
- Finance teams keying supplier invoices into an accounting system one line at a time.
- Any office where applications arrive as scans and photos rather than as clean forms.
- Teams sitting on years of paper records they have never been able to search.
Questions
The things people ask before starting.
How accurate is it, really?
That depends entirely on your documents, so we will not quote a figure before seeing them. What we will do is run a real sample, compare every extracted field against the original, and show you the result — including where it struggles. You then decide whether the accuracy is good enough to switch on.
Our documents are handwritten. Does that work?
Sometimes. Printed text and structured forms are reliable; consistent handwriting on a well designed form is often workable; free-form handwriting across varied layouts frequently is not. We test your worst examples early rather than your best ones, and if it will not hold up we say so before you spend money on it.
Do the documents leave our premises?
Not unless you agree to it. Where the data is sensitive — customer records, bank details, health information — we can keep processing inside your own environment. Where cloud models are acceptable, we tell you which service handles what and what it retains. That choice is made openly at the start, not buried in a config file.
What happens to the documents it cannot read?
They go to a human, which is the point. A system that quietly guesses is worse than no system at all. Uncertain records land in a review queue with the original shown beside the extracted fields, so a person confirms or corrects at a glance rather than re-keying the whole thing.
