Workflow & Process Automation

Find the steps your team repeats without thinking, hand them to software, and keep the judgement calls with people.

What this actually is

The repetitive work your team does by hand every week, handed to software that does not get tired.

Most teams do not have one big broken process. They have many small ones — a form retyped into a spreadsheet, a status update copied into several places, an approval sitting in somebody’s inbox. None of them looks worth fixing on its own. Together they are most of somebody’s week, every week.

We start by watching the work as it is actually done, not as the process document describes it. Then we automate the parts that follow clear rules and leave anything needing judgement with your people. The automation is built into the tools you already use, so nobody has to learn a new system to get their job done.

How we work

Four steps, in this order.

01

Watch

Sit with the people doing the work and record what actually happens, step by step.

02

Choose

Automate the steps that are repetitive and rule-based. Leave judgement with people.

03

Build

Wire it into the tools already in use, so nobody has to learn a new system.

04

Hand over

Train the team, write the runbook, and stay on call while it beds in.

What you get

Every engagement hands over these.

  • A written map of the process as it is actually done
  • Working automations built into the tools your team already uses
  • A runbook covering failure cases, manual overrides and who to call
  • A handover session for the staff who run the process daily

Who it’s for

This is usually the right fit when…

  • Teams where one person is the only one who knows how a critical weekly process works.
  • Offices where the same information is typed into more than one system before anything moves.
  • Businesses growing faster than their admin — hiring people mainly to keep up with paperwork.

Questions

The things people ask before starting.

Will this put my staff out of work?

Usually the opposite. The work we automate is the part nobody wanted — the retyping, the chasing, the copying between systems. Your staff keep the parts that need a person: the decisions, the exceptions, the customers. If you are automating specifically to cut headcount, say so at the start, because it changes what we build.

What happens when the automation breaks?

It will, eventually — a tool changes its login, an interface moves, somebody renames a folder. So we build the failure in: alerts when a run does not complete, a manual path that still works, and a runbook your team can follow without calling us. Then we stay reachable while you settle in.

Do we need to replace our current systems first?

No. Replacing systems is expensive and slow, and it is rarely the real problem. We work with what you have — the spreadsheets, the accounting package, the WhatsApp groups, the shared drive. If something genuinely cannot be automated around, we will tell you that plainly rather than quietly building a workaround that will not hold.

How do we know which process to start with?

Pick the one that annoys people most, not the one that looks most technical. We sit with the team for a short while and watch. Usually the right first candidate is obvious within that session — high volume, clear rules, no judgement, and someone who would be glad to stop doing it.
